SyntheStudio AI Ops v1.0 · In production

An autonomous operating system that actually runs your business.

SyntheStudio AI Ops is not a chatbot and not a dashboard. It's a coordinated team of specialized AI employees — receptionist, sales consultant, support agent, knowledge assistant, executive strategist — that answer customers, qualify leads, write proposals, manage tasks, monitor operations, and escalate to humans the moment judgment is required.

About SyntheStudio AI Ops

An AI operations platform for services businesses that need to move like a much larger team.

SyntheStudio AI Ops is the operating system built by SyntheStudio to run the front office of a modern services company — sales, support, delivery coordination, knowledge, and reporting — with a coordinated AI workforce under real human oversight. It replaces the tangle of chatbots, CRMs, help desks, and point AI tools with a single system where every agent, channel, and record shares the same context.

Who it's for

  • • Agencies, consultancies, and studios (5–200 people) running client work end-to-end.
  • • Professional services firms handling inbound leads, proposals, and ongoing accounts.
  • • Founders and operators who want AI leverage without losing control, auditability, or brand voice.
  • • Teams already juggling a CRM, inbox, chat widget, wiki, and a stack of AI tools — and want one system instead.

Who it's not for

  • • Pure e-commerce or transactional SaaS with no human sales or delivery motion.
  • • Teams looking for a single-purpose chatbot bolted onto an existing stack.
  • • Organizations that require fully autonomous AI with no approval workflows.

Website widget, email, WhatsApp, voice, and SMS through a unified conversation engine and outbound queue.

Unified customer graph

Visitors, leads, companies, contacts, customers, conversations, proposals, and tickets on one shared timeline.

Proposals & portfolio

AI-generated proposals with versioning, rollback, expiry signals, and portfolio-based recommendations.

Knowledge base + RAG

Grounded answers with citations, article versioning, pending-approval queue, and retrieval telemetry.

Approvals & safety

Human-in-the-loop gates, safety layer, prompt-injection blocks, per-agent spend limits, and full audit trail.

Executive intelligence

Signals, briefings, strategy plans, simulations, and NLQ over your operational data.

Observability & ops

Per-agent latency, cost ledger, health snapshots, timeline, workflow validation, and DLQ view.

Enterprise foundations

Roles via has_role, row-level security everywhere, signature-verified webhooks, and PII scoping.

On the roadmap for v1.1 and beyond: referral automation, dead-letter queue replay, deeper KB retrieval telemetry, a global command palette, and on-call paging integrations.

What it is

One platform, replacing a stack of ten.

Most companies stitch together a CRM, a help desk, an email tool, a chat widget, a knowledge wiki, a project tracker, an analytics suite, and half a dozen point AI tools. SyntheStudio AI Ops collapses all of it into one coherent system where every module shares the same customers, the same conversations, the same knowledge, and the same intelligent workforce.

AI workforce, not chatbots

Each agent has its own system prompt, tools, permissions, memory scope, spend cap, and escalation rules — a real specialist, not a generic assistant.

Unified customer graph

Leads, companies, customers, conversations, proposals, and tickets share one contact timeline across every channel — nothing is siloed.

Human-in-the-loop by design

Approvals, safety rails, spend caps, and audit trails on every action. AI proposes, humans decide anything that touches money or trust.

How it works

The five layers of the operating system.

Every message, task, and decision flows through the same five layers. That's what makes the whole system behave like one coordinated organization instead of a bag of disconnected AI features.

01

Channels — where conversations happen

Website widget, email, WhatsApp, SMS, and voice all normalize into a single conversation model. Add a new provider in the settings and it appears everywhere immediately.

02

Orchestrator — who should handle this

An intent router inspects the message, the customer's history, the current pipeline stage, and available agents, then dispatches to the specialist most likely to succeed.

03

Knowledge — what the agent knows

A versioned, approval-gated knowledge base with RAG retrieval. Only human-approved articles are indexed. Every AI answer cites the source it drew from.

04

Tools & workflows — what the agent can do

Agents call typed tools (create lead, send proposal, book meeting, open ticket, invoke automation). Every action is permissioned, rate-limited, and logged.

05

Oversight — how humans stay in control

Approvals queue, live timeline, audit log, performance scorecards, cost ledger, and executive briefings — you always see what the workforce is doing and why.

06

Learning loop — how the system gets better

Every conversation, outcome, and correction feeds evaluations, prompt improvements, and knowledge suggestions — the OS gets sharper each week without a new deploy.

An end-to-end trace

A single visitor, from hello to signed deal.

Here's what happens when someone lands on your website. Every step is a real module of the OS.

  1. 1

    Visitor lands on the website

The widget records an anonymous visitor session with page context and referrer. No PII yet, no account required.

  2. 2

    AI Receptionist greets them

Answers questions from the approved knowledge base with citations, understands intent, and — if the person is qualified — offers to connect them to sales.

  3. 3

    Lead is created and enriched

The moment contact details land, a Lead record is created, tagged with source, intent, and BANT signals, and added to the pipeline.

  4. 4

    AI Sales Consultant takes over

Asks discovery questions, understands the use case, references case studies, drafts a proposal, and books a meeting on the right calendar.

  5. 5

    Proposal goes through approval

The draft appears in the Approvals queue. A human reviews the numbers and scope. One click sends it via the customer's preferred channel.

  6. 6

    Follow-ups run themselves

If the customer goes quiet, the Follow-ups engine schedules the next nudge based on stage, past behavior, and permitted cadence.

  7. 7

    Deal closes, hand-off to Support

Customer record is promoted, onboarding tasks are created, and AI Support takes over post-sale conversations — with the entire pre-sale context available.

  8. 8

Executive intelligence learns from the outcome

Win/loss is recorded, the sales scorecard updates, and the strategy layer feeds recommendations to the leadership briefing.

Channels

Meet customers where they already are.

Every channel normalizes into the same conversation model, the same contact timeline, and the same AI workforce. Turning a new provider on is a settings change — never a re-architecture.

  • Website widget with realtime replies
  • Email via Resend or SendGrid, inbound + outbound
  • WhatsApp Business (Meta or Twilio)
  • Voice via Twilio + Vapi or Retell
  • SMS via Twilio or Vonage
Under the hood
Typed adapters
Each provider implements the same ChannelAdapter interface — capabilities, send, receive, cost.
Signature-verified webhooks
HMAC signature verification with timing-safe comparisons on every inbound webhook.
Outbound queue
Retries, dead-lettering, provider fallback, and per-agent spend caps built in.
Realtime delivery
Website messages fan out through realtime broadcasts so the widget updates without polling.
Knowledge

AI grounded on your truth, not the internet.

Every AI answer is drawn from your approved knowledge base — a versioned, reviewer-gated library that the whole workforce reads from. If it's not approved, it's not indexed. If it changes, it's a new version with rollback.

Draft → Review → Publish

Uploads land as drafts. A human reviewer approves before anything enters the RAG index. Nothing leaks live.

Versioned + rollback

Every article has a version history. Roll back in one click. See exactly which version an AI answer came from.

Semantic + keyword retrieval

Hybrid retrieval picks the most relevant passages for the question, and every AI answer cites the source article.

Control & trust

You always know what the AI did, why, and what it cost.

Autonomy without visibility is a liability. Every action the workforce takes is logged, priced, approved where required, and reviewable.

Approvals queue

Anything that spends money, sends a proposal, or contacts a customer for the first time waits on a human click.

Per-agent permissions

Each agent has explicit tool access, a spend cap, an escalation policy, and safety-violation limits.

Live timeline & audit

Every event — who, what, when, why, cost — is streamed to the timeline and archived to the audit log.

Performance scorecards

P95 latency, success rate, cost per outcome, safety incidents — per agent, per module, over time.

Safety rails

Content classifier, tool dry-runs, and two-phase commits stop destructive actions before they execute.

SLA tracking

Approvals, escalations, and response times all measured against SLAs with alerting when they slip.

Cost ledger

Every AI call, message, and voice minute recorded to a per-tenant append-only ledger you can drill into.

Multi-tenant ready

RLS on every table, tenant scoping in every server function — safe by default, not as an afterthought.

Who it's for

Built for professional services businesses that want to scale without hiring linearly.

Agencies & studios

Handle inbound at any hour, qualify better, draft proposals faster, and let your team focus on the work.

Consultancies

Turn recurring questions into an approved knowledge base and let the AI workforce handle first response and follow-ups.

Operations teams

Give leadership a real executive briefing every morning — pipeline, cost, safety, agent performance — without building dashboards.

Frequently asked

The questions everyone asks first.

Is this a chatbot?

No. A chatbot answers messages. SyntheStudio AI Ops is a coordinated workforce that answers, qualifies, drafts, schedules, escalates, and reports — across every channel and every module of the business.

Where does the AI get its answers from?

From your approved knowledge base, your CRM records, and your live conversation context. Nothing from the open web is presented as fact. Every AI answer is traceable to a source.

What if the AI gets it wrong?

High-risk actions — sending a proposal, invoicing, first customer contact — go through the approvals queue. Every action is reversible, logged, and evaluated. Regressions surface in the performance scorecard within a day.

Can we integrate our existing tools?

Yes. Channels, CRM, calendars, and email providers are pluggable adapters. If it has an API and a webhook, it can be added — WhatsApp, Twilio, Retell, Vapi, Resend, and SendGrid are already in the box.

How is data protected?

Row-level security on every table, per-agent permissions, signature-verified webhooks, HMAC-guarded public endpoints, and constant-time secret comparisons. Multi-tenant isolation is enforced at the database layer.

How does the system get better over time?

Outcomes are captured, human feedback is scored, weak prompts are surfaced, and the knowledge base is expanded from real conversations. It's a closed learning loop — no re-deploy required.
